Uploading Excel Files to eCOC Templates

Please not that there are a few things that are mandatory when filling out an offline excel eCOC to ensure it uploads properly.

 

Mandatory fields in excel eCOC template:

 

1.     Sample Matrix - for each sample, select the matrix from the drop down menu in the excel.  You can use the drop down menu for the first sample line and then you are able to copy and paste down if you prefer.

2.     Bottles – you must enter the number of containers per sample i.e. 1 bag, 2 vials, 1 jar = 4 containers.

3.     Date sampled – this is also mandatory.  Date format is yyyy/mm/dd.  Time sampled is optional.  If you do put in the time, use the format in the excel template. 

4.     Use an “X” to mark the analyses.  The X can be upper or lowercase. 

5.     Don’t leave any blank sections on a sample line other than time sampled.

6.     Don’t have any extra information on lines where you don’t have samples listed.

 


Uploading the excel:

 

Once your excel is complete, go to JOBS in the Portal and Upload Excel

  • The upload may take a few minutes depending on the size of the file
  • Once the excel has uploaded, it will create an eCOC number.
  • If you do not need to make any additional edits, click save and next.
  • Enter the shipping information and hit submit
  • Reminder, you can modify an eCOC in “Draft” or “Submitted” form
  • Please note the submission must be “Submitted” for the lab to receive it.  
  • Once samples are received at the lab, the job status will update to “Entered” and you will not be able to modify the job online anymore.  
  • If you need to make any changes after samples have been received, please reach out to your Bureau Veritas Contact and we make the updates for you.
