Rush Guidelines and Notifications - INTERNAL

Please note that when saying that samples must be in the lab, this does not refer to the time received but when the actual samples are on the bench.

 

General guidelines:

  • NO Same Day Salinities
  • NO Same Day metals in soils.
  • NO Same Day Leachates.
  • NO Same Day or 1 day SWOGG
  • NO rushes for scheduled Calgary Inorganic tests (BA-TS, CCE, ES-S, CHLOPHEO-W, SILCA-W, NH4LL, CL2, CL2T, CNFREE, TKNAC-S)  unless there is a verbal discussion and follow up email with the laboratory supervisor.
  • Leachates need to be in SP by 1pm to be logged for next day (unless precleared with known later arrival time)
  • Any Inorganic Waters with digestion is NOT possible for same day if not in lab by 10am.
  • Any Inorganic Waters without digestion may be possible if in the lab by 10am but it will also depend on the number of samples submitted.
  • Burnaby - TDS and TS is a minimum 2 day TAT 
    • Calgary can do next day TDS
  • BOD is a 5 day TAT.  
  • Calgary Inorganics has provided an updated schedule for minimum volume tests and some that will be on a schedule over the winter only.  Rush TATs will be managed on a case-by-case basis.
  • Gas Plant Wastewater (GPWW) is the only exception to above.  Will complete same day if in lab before 1pm.  If received after 1pm, will be done by noon the next day (Calgary).
  • Any Organics same day rushes need to be in the lab by 11am for both soils and waters.
    • In Burnaby – this is limited to 10 samples for F24, PAH, BTEX and 20 samples for EPH
  • When sending a rush email (for an uncleared rush)and the lab asks for the deadline to be changed, KAS/CSR to update the date, resend the confirmation and contact the client.
    • The deadline needs to be changed within 1 hour. 
  • When clients put “ASAP” for TAT on COC.  The TAT will be set for 1 Day rush.
  • Soil addons - Calgary - in the winter, same days or next days logged late in the day are not possible.  Soil is stored outside in seacans and often soil will be frozen.  It needs to thaw before it can be prepped and analyzed.

 

 

Rush Emails to Lab:

PSS to send rush emails once job approved for the following scenarios:

  • All same Day, 1 day and 2 day rushes.
  • All large soil jobs regardless of rush request.  Large is any job > 40 samples with analysis.
  • Any rush job with the following test codes present:

Preclearing a Rush and Creation and use of rush confirmation number: 

KAS/CSR to send email to appropriate lab rush email groups when clients pre-clear a rush.

  • It is important that all mandatory fields (*) are filled out.  If you are unable to complete the form, please do not submit for pre-clearing until all information is gathered. 
  • The deadline requested needs to be in the form of the actual date (NOT 1 day, 2 days, etc.)
  • When emailing, please use the subject line template identified.  This makes these emails searchable. 
  • Preclears for same day rushes need to be emailed before 3pm of the day prior to the same day deadline being requested.  This will allow time for the supervisors to respond if not possible.
  • Why Preclear? 
    • Reserves a spot for the rush samples in the lab 

Rush Confirmation Number 

  • Why is this important and what to do with it once you have created it? 
    • It creates an unique identifier for that specific rush request 
    • When the rush is received in Sample Reception and the confirmation number is listed on the COC,  it then can be matched up easily with the already precleared rush. 
      • If it is not on the COC, it may get logged in and treated as an uncleared rush and it may not be logged for the correct date/time. 
    • Provide the number to the client and ensure they understand the importance of placing it on the COC.
