Downloading eCOCs and Uploading Jobs (Working Offline)

Modified on: Tue, 17 Feb, 2026 at 7:10 PM

There may be times when you need to take your eCOC to the field. This is how you can do it:

An eCOC Template can be exported into an Excel sheet, allowing you to take it with you and work offline. Once you have filled in your eCOC excel sheet, you can upload it into the Portal to create a new eCOC job.

  1. Go to the ECOC TEMPLATES header on the home screen.
  2. Scroll through your templates (or use the Search function) and select your desired template, click the row to open up the inline menu.
  3. Click "export to excel". It can take some time to download.
  4. Save the Excel file to your device as you wish.
  5. Fill in the COC offline:
    1. Each Sample ID must be unique.
    2. Use X's under the TESTS or HOLD columns. Each sample must have either a test or hold selected, but not both.
    3. The Matrix must be selected from the drop down menu for the first sample. It can be copy and pasted from there if needed. Free hand text will cause errors when uploading it back to the Portal.
    4. The number of Bottles/containers must be entered.
    5. The Date Sampled must be entered in the format yyyy/mm/dd.
    6. The Time Sampled is optional unless your program specifics require it (microbiological testing, for example).
  6. To submit as an eCOC:
    1. Go to the JOBS section and click "Upload Excel".
    2. Choose your excel file to upload. It can take some time to upload.
    3. Navigate through the steps as you would when submitting a new job regularly. Edits can also be made at this stage.
    4. Click "Submit" on step 5 to complete the process.
